In this form you will find all the information you need about renting one of our Luxury Homes. Please read through all of the information & complete the information about your party & stay.
Accidental Damage Insurance: By signing this form the party leader agrees to accept full liability for all loss or damage caused by any member of their party during the occupation. By signing this document the party leader confirms that the FULL cost of repair or replacement for any damages caused to the home will be met.
The Property Manager requires guests to take out a compulsory accidental damage home protection plan. We have included as part of the Booking and administration fee for your convenience. Guest assumes liability for any damage caused not covered by this plan. This means we do not have to collect a security deposit like many owners ask for – we think it is a much better solution for both owners and guests. By signing this agreement you agree any damage you cause which is not covered by the plan will be the sole liability of the guest. You authorize us to debit your credit or debit card for any additional cleaning or repair charges made after your departure.
Occupancy: Our homes are ready for occupancy from 4:00pm on the day of arrival. Our easy check-in means you don’t have to visit our offices to collect your key. Simply arrive at the home you will find a Keypad located on the front door, enter the 4 digit electronic code which will be supplied to you 48 hours before occupancy, turn the lock to open the door.
One of the first things we ask you to do is take the time to read our information in the Property Folder, this gives information on how to use the pool, electronics and other features of the home it is a guide for your stay. Check out is by 10:00am on the day of departure. If you have a late flight you should consider reserving the villa for an extra night or pre- arranging a late check out if possible (there may be an additional charge for this as often there are guests arriving the same day & we will need to have an extra cleaner attend to shorten the clean time).
Conduct: Your holiday villa will be located on a subdivision where your neighbors maybe Florida residents. We ask that you act in a considerate and courteous manner to your neighbors. We expect you to have fun but we also request that noise be kept to a minimum during early mornings and late evenings. Please treat the home with respect and be aware that any damage you cause you will be liable for in full. Have fun, but respect your neighbors and the property. Guests are liable for ensuring trash is put out on the correct days and also inside trash cans. PLEASE NOTE: REUNION'S HOA CHARGE $200 PER BAG (two hundred dollars per bag) FOR TRASH WHICH IS SCATTERED BY CRITTERS. Guest agrees that any scattered trash caused by leaving trash outside of can is the liability of the guest and this charge will be due. Please do not leave trash outside of trash cans!! Reunions trash collection is as follows: Friday is Recycle day and Monday is Trash. Please put trash into the appropriate containers and take to the curb early on these days. Other communities have trash benches outside the front door and trash is picked up daily.
Pools & Pool Heating: - Pool heaters operate on a timer and are set to come in the morning and go off in the evening, there will be some cooling off overnight when the air temperature drops. In the coldest winter months heating the pool can be a problem, with the water temperature dropping down overnight. Florida has a temperate climate but cold fronts can bring overnight low temperatures in the 30's and 40's - these can last for several days. Unfortunately under these circumstances there is no way the pool heater will be able to keep the water to around 84 degrees. Especially where pool heat is provided via an electrical heat pump, if the outside air temperature drops below 55 degrees Fahrenheit. Electric heating pumps do not operate effectively below this temperature, and failure of such devices to heat the pool to the desired temperature is outside of the Company’s control, and is regarded as an act of nature. Please note that cold weather does NOT constitute a mechanical failure and no refunds will be given for problems that are due to cold weather.?
Your villa may be fitted with an alarm on doors leading to the pool - this is for the safety of you and your guests, especially young children. If you are unsure how to operate these alarms please read the instruction manual in the villa or call the Property Manager. The pool is used solely at the renters own risk, take care, the owner or management company cannot be held responsible for accidents how so ever caused. Please supervise your children at all times. By signing this agreement you agree to hold both the home owner and the Property Manager harmless.
Maintenance: All breakages, accidents, problems and losses must be reported to the Property Manager as soon as they occur so that they can be attended to. As with any home appliances will, from time to time, malfunction and may need repair, the Property Manager will use their best endeavors to have any problem rectified as quickly as possible. Repair times may be dependent on third parties such as utility companies. Access to the rental home may be required by authorized maintenance personnel during your stay. Calls out charges apply if the appliance was damaged due to guest neglect. Call out charges of $99 WILL apply to blocked toilets - please read our manual to avoid and for advise on Florida plumbing and drainage.
To re-iterate please do not place anything other than toilet paper down the toilet!
We reserve the right to enter the home for any maintenance issues during your stay, if you would prefer that we did not enter the premises whilst you are out ( only during emergency maintenance issues )please let us know at the time of your call to arrange an appointment, otherwise we will enter without further notice.
Villa Details: The details and photographs we display on our web site are current and are provided to us by the villa owner or property manager. We try to ensure that these are up to date and accurate but they should be used as a guide only - we cannot guarantee 100% accuracy. Owners are free to change decor and furnishings in their villas as they see fit. The Property Manager does not control any building or renovation work in the area. In the highly unlikely event of building work immediately next to your rental home we will offer you an alternative property subject to availability or a 5% discount on the nightly rate. All units on Reunion Resort are rented without the use of the owners private members Club amenities pass. A limited availability Houseguest pass may be available for these amenities, however you will be required to pay a club registration charge. (Subject to availability). Please note - Water Park and golf passes are not included.
Pets: Pets are not permitted in any of our holiday villas unless you have prior written consent from the Property Manager, This is primarily out of consideration for future guests who may suffer from allergies or other pet related illnesses. If pets are found in the villa, then the Property Manager or their representative has the right to have them removed from the property. The security deposit will be automatically forfeited or an additional cleaning fee or $199 will be paid and guests may be required to vacate the property with no refund of rental monies regardless of number of nights remaining in the stay.
Smoking: Smoking indoors is not permitted in any of our villas. Smoking is allowed outside of the property. The Villa is fitted with smoke detectors which will activate if guests attempt to smoke anywhere in the home. Guests found smoking inside the villa will forfeit their security deposi or be subject to a minimum charge of $199.
Grills and Outdoor kitchens: Some villa owners refuse to allow grills/barbeque’s in their homes because of the mess they can make. Those that do allow them do so subject to them being used in accordance with Florida State Law. Read the villa instruction manual or information notices for details. Renters use these facilities at their own risk, the management company or owners cannot be held responsible for any reason what so ever.
Check Out: Check out is at 10am PROMPT. Late check-out will result in extra charges. The villa instruction manual will detail what you are expected to do when checking out.
Privacy: The Property Manager will use any data provided by you only in respect of your villa and will not pass your details on to any 3rd party.
Force Majeure: The Property Manager will not be liable for problems or delays caused by strikes, riots, political unrest, hostilities, war, terrorist activity, industrial disputes, fire, flood, tornadoes, hurricanes, transportation problems, airport closures, weather conditions or any other event beyond our immediate control. We suggest that you take out adequate travel insurance to cover such eventualities.
CANCELLATION POLICY: It is the guest’s responsibility to take out adequate travel insurance to cover any such eventualities and cancellations due to work/illness/ health issues that stop you from travelling and enjoying your vacation. All bookings are final with no refunds allowed.
We strongly advise all guests purchase travel insurance.
Liability: The Property Manager makes every reasonable step to make sure your home is in a safe condition. In the event of any injuries or accidents, the total liability of the Property Manager, its owners and employees will be solely limited to the rental amount paid by the guest. By signing this agreement the guest agrees to this policy. Please remember to supervise cooking at all times and remember swimming pools are dangerous – children should be watched at all times. If you find any fault with our home upon check-in please call our emergency line (EMERGENCY ONLY -) to notify us and we will have the problem corrected. The Property Manager and/or the Owner do not accept liability for equipment failure and/or services in the Property. In the event of failure of equipment, the Guest must notify the Property Manager within one working day, such that the Property Manager may elect to rectify the failure.
The Property Manager and/or the Owner do not accept liability for lost or stolen personal property of the Guest from the Property during the rental period. In the event that property of the Guest is lost or stolen, the Guest should advise the appropriate authority first, and then contact the Property Manager to report the lost or stolen items. The Property Manager and/or the Owner accept no liability for personal loss or injury to the Guest during the rental period.
Replacement Villas: We will make every reasonable effort to provide the exact villa stated in our reservation confirmation. However in the extremely unlikely event of an emergency situation arising that causes a villa to become unserviceable or unavailable then we will try to provide a replacement property of the same number of bedrooms or more, within a 10 mile radius of your original location. The Property Manager reserves the right to replace the booked home with a different property at the sole and absolute discretion of the Property Manager. Please note we cannot control construction work ongoing in communities however in the unlikely and unfortunate event of construction work next door to your home we will endeavor to provide replacement accommodation. The Property Manager accepts no liability for disruption caused by any construction activities in the surrounding area. The Property Manager reserve the right to cancel the booking in the unlikely event that the home becomes unavailable for any reason.
Locating your villa: Once you have paid for your villa you will receive by email the address of the property as well as the electronic entry code. Please do NOT travel without this information as you will not be able to locate your villa. If you do not receive this information please contact us at least 72 hours prior to your journey commencing.
Parking & Vehicles: Most of our homes have parking for one or two vehicles. Some homes have garages but these are not always accessible - especially if the homeowner has installed games equipment in the garage.
PLEASE NOTE: that most homes are in subdivisions that have an active Homeowners Association in place. Homeowners Associations very rarely allow overnight parking of Commercial Vehicles, RV's, Boats, Campervans, Trailers or any kind of oversize vehicles. Many also prohibit on-street parking – if you intend bringing any of these kinds of vehicles then you need to make your own parking arrangements. If you have any questions in this respect please check with one of our booking agents.
General Points: Please read the house information provided in the property. In Addition: Swimming pools are great fun and few people would choose a holiday home without one. However they are an obvious source of DANGER especially for young children. We cannot accept any liability whatsoever for any injury caused as a result of using the swimming pool in any holiday villa. You are particularly advised NEVER to allow children to use the pool unsupervised
PAYMENT AND DEPOSITS: Payment in full is required 60 days prior to occupancy. Please note dates are not held without deposit of $500. Please note deposit is non-refundable in the event of cancellation for any reason.
PLEASE NOTE: We have waived the security deposit requirement. However by singing this agreement you authorize The Property Manager to check the home after departure. In the event of excessive mess, damage or any other breakage caused by your party you authorize us to debit your card for the amount equivalent to our cost of repair. Optional One day Reunion Members facilities pass available for $125 (parties less than 8 - $149 over 8)
Your deposit or payment should be enclosed with this booking form or if paying via credit card details should be authorized by this office within 24 hours.
Normal check in time is 4:00pm. Normal check out is 10:00am
