RENTAL TERMS & CONDITIONS


Advance Payment Required Reservations

At the time of booking a credit card advance payment will be required in the amount of $200.00 to include a non-refundable reservations fee (see "Reservations Fee" below). Optional travel insurance, which protects you from unexpected events such as hurricanes (see "Vacation Insurance Protection" below) is available for a fee of 6.5% of the reservation total, and if taken is also due at the time of booking. Reservations for condominiums made less than 14 days prior to arrival require payment in full immediately. Monthly rentals will be required to make payment in full if booking within 30 days of arrival.

Please click here: to obtain your travel insurance policy or certificate of insurance for your Covered Trip. The travel protection, if purchased, includes insurance coverage for Trip Cancellation, Trip Interruption, Travel Delay, Baggage Delay, Accidental Death and Dismemberment and Emergency Assistance. Please read your document carefully as certain limitations, restrictions and exclusions apply. The insurance coverage is underwritten by Stonebridge Casualty Insurance Company and the non-insurance assistance services are provided by CSA's designated provider. Please contact CSA at if you have any questions.

Reservation Fee

There will be a $50.00 reservation fee per unit booked plus tax. The reservation fee is automatically added to the reservation and will appear as a separate line item in the guest folio.

Cancellation Policy

Cancellations to any reservation results in forfeiture of $200.00 advance rent deposit. Changes to the booking have to be made Thirty (30) days prior to arrival for Short Term reservations. Sixty (60) days prior to arrival for Monthly reservations. Once final balance is paid there are NO REFUNDS due to cancellation. If you have purchased Travel Insurance with CSA you would need to contact them with questions regarding claims.

Full Payment Due

Full payment is due fourteen (14) prior to arrival for SHORT TERM reservations. Please make payments in the form of traveler's checks, bank money orders, cashier’s checks, or a personal check if not we will bill your credit card on file for these charges.
MONTHLY rentals must be paid by check or cash only Thirty (30) DAYS PRIOR TO ARRIVAL.

Family Rental Only and Age Requirements

Reservations made for teenagers or young single groups will not be honored without an accompanying adult couple staying in the unit at ALL times. We require at least one member of the party to be 25 (twenty-five) years of age and must occupy the rental property the entire term of the reservation. Any violators will be evicted according to Florida Statute 509-141 with forfeiture of all monies.

Falsified Reservation

Any Reservation obtained under false pretense will be subject to forfeiture of reservation deposit, damage deposit, and/or balance of rental payment. Guest will not be permitted to check in.

Check-In Time

Check-in time is between 3:00 pm and 5:00 pm.; checkout time is 10:00 a.m. During Peak seasons, not all units will be ready for check-in promptly at 3:00 p.m. We ask for your patience and suggest that you have alternate plans available between 3:00 p.m. and 5:00 p.m. in case the unit is not yet ready. For late arrivals please contact office for instructions.

Damage Deposit

All guests are required to select one of the two following options:

A check in the amount of $500.00 is required as a damage deposit. This amount is returned to you after 10 business days if there are no damages other than normal wear and tear. In the event damage or loss occurs in your rented condo we will send you an invoice for the actual amount of ALL charges incurred, whether more or less than $500.00.
OR
Security Deposit Protection covers the cost of accidental damages to your rented condo. In lieu of tying up $500.00 on your credit card, we encourage you to take advantage of our damage waiver program. The damage waiver only costs $39.95 and covers up to $3,000.00 of unintentional damage. If an accident should occur your obligation is simply to report it to us immediately.
Please note any damage to the property upon your arrival and report it immediately to your rental manager to avoid possible liability. Please, notify us immediately if any loss or damage occurs during your stay.
This Vacation Rental Damage plan covers unintentional damages to the rental unit interior that occur during your stay, provided they are disclosed to management prior to check-out. The policy will pay a maximum benefit of $3000.00. Any damages that exceed $3000.00 Limit will be charged to the credit card on file. If, during your stay at one of our Rental Properties, an Insured Person causes any damage to real or personal property of the unit as a result of inadvertent acts or omissions, the Insurer will reimburse the Insured for the cost of repair or replacement of such property up to a maximum benefit of $3000.00. N the Certificate of Insurance or Insurance Policy The Vacation Rental Damage can be purchased up to, and including at, check-in. By submitting payment for this plan, you authorize and request CSA Travel Protection and Insurance Services to pay directly The Property Manager any amount payable under the terms and conditions of the Vacation Rental Damage. Please contact The Property Manager directly if you do not wish to participate in this plan or assignment.

Unit Assignments

We reserve the right to change unit assignments. We try to accommodate your request; however, a specific unit cannot be guaranteed.
Occupancy

The maximum number of guests per apartment is limited at most properties to four (4) persons in an efficiency, studio or one bedroom, six- eight (6-8) persons in a two bedroom and eight - ten (8-10) persons in a three bedroom depending upon sleeping set up in unit(s). Other restrictions may apply.

Monthly Reservations

Three (3) month rentals or longer will be given priority during the winter season. BEACH SERVICES AMENITY PACKAGES ARE NOT AVAILABLE FOR 30 DAY OR LONGER RENTALS. Credit card payments will not be accepted for monthly reservations.

Pet Policy

Pets are not permitted except for our pet friendly resorts. If evidence of a pet(s) is found in your unit or on the premises that are not in our pet friendly resort, you will be evicted immediately with no refund of rent or damage deposit.

No Daily Maid Service

Housekeeping fee includes departure clean only. Linens and bath towels are included and not to be taken from the unit. An initial setup of trash liners, bathroom paper, and facial soap is provided. Extra items needed are the responsibility of the guest. Beach towels are to be provided by the guest. Upon departure we require that you remove all trash from the unit and all dishes be washed if not there will be an additional housekeeping charge of up to $50.00. Keys to be returned to office location.

Utilities

No compensation will be given for temporary outage of pool, electricity, elevator, gas, water, cable, weather conditions or telephone service. Outages will be reported immediately and all efforts will be made to have them restored as soon as possible.
The operation and maintenance of these utilities is out of the control of The Property Manager.

Rules and Regulations

All Guests, as well as Owners, are required to conform to all rules and regulations. Guests are subject to eviction, according to Florida Statue 509.141 with loss of all monies paid.

Smoking Restrictions

Smoking is prohibited in ALL units. Additional housekeeping charges of up to $250.00 will be applied for additional cleaning expenses if guest is found to be in violation of this policy.
Keys
Any after-hours service calls for lost keys or for locked-out guest will require a $50.00 charge. Emergency on call personnel will make every effort to arrive as quickly and safely as possible. You may incur a 30 minute to 1 hour wait. All keys are to be returned to office (lock box) at check out. Please DO NOT leave keys in the condo.

Units for Sale

The unit you have selected or one like it may be for sale. If you are interested in purchasing a property please call our office to speak to an agent.
In the event a property that you are renting is listed for sale, we may find the need to show the property during your visit. We will make every effort to schedule the showing at a convenient time so we do not disturb your vacation.

Agency Disclosure

The Property Manager is the agent of the property owner and is acting at all times, in and for the best interest of the owners. Agent will not be held responsible for acts of theft or vandalism or for damages to the guest´s property or items left in the unit.

Refusal Of Service
The Property Manager retains the right to refuse service to anyone.

Hold Harmless

This rental agreement is made upon the express condition that The Property Manager, its agents and employees shall be free from all liabilities and claims for damages and/or suits for or by reason of any injury, or death to any person or property of the guest, their family, agents or employees or third parties, from any cause or causes whatsoever while in or upon said rental premises or any part thereof during the term of this agreement or occasioned by any occupancy or use of said rental premises or any activity carried on by the guest in connection herewith, and the guest hereby covenants and agrees to indemnify, defend, save and hold harmless The Property Manager, its agents and employees from all libilities, charges, expenses and costs on account of or by reason of any such injuries, deaths, liabilities, claims, suits or losses however occuring or damages growing out of the same.

Sea Oats 401 We absolutely loved this condo! By far our most favorite room we've stayed in for any vacation. Kitchen was amazingly set up, it even had a mini food processor to make my homemade biscuits! The ONLY thing we weren't impressed with, was the cleanliness of the room. I understand that isn't on the owners or the realtor. I actually swept the floor myself on our second day, so it was bearable. It looked as though surfaces hadn't even been wiped down at all. Like I said previously this condo far exceeded our expectations. We loved LOVED the ice maker, the way it was decorated and the updates are impeccable, that kitchen, master bath, WOW!!! A room that is a 5 star needs to be cleaned like it is a five star. Next year, if we come to Fort Walton this will be the room I look to book first! P.S we left a brand new sand castle kit for the next family that has kiddos. We are from Michigan and didn't have any use for it, so we thought maybe the owners or the next family could use it. Perfect Vacation The condo was decorated just like the pictures and the kitchen was stocked with bowls, pitchers and every utensil you would need. There is a different coffee pot from the pics so bring coffee filters. The walk out to the beach is short and no stairs to climb which is nice when carrying beach supplies. The beach setup is so nice to have and I appreciate the owner of condo supplying the setups. The condo was clean and had plenty of room. Holly at the realtor was so sweet. The location was perfect. Perfect Beach Condo This condo was immaculately clean, tastefully decorated, and had extra little touches that made it very relaxing...like the directional nightlights in every room, and the extra ice maker that was so easily accessible and always full of ice. Everything about this condo was perfect, and is our favorite place we’ve ever stayed at the beach. It being a corner unit was also a bonus; with all of the natural light coming in, it felt more like a beach house than a condo. Response from Alicia J. Property Undergoing Needed Updating Alicia Hollis Realty was very helpful and responsive to our needs. Unit 401 was spacious and well-equipped. Bathrooms could use an update, but were very clean and well supplied. The entry side of Sea Oats badly needed repair from rusty doors and windows. We were told this was scheduled soon. The back of the building looks great and the pool area was nicely done. The beach was very clean, but the water was full of "June Grass" - our first experience with that. It couldn't be helped - it's nature! - but a big disappointment. We also had some issues with noise from other tenants. There was a large group of young people that were staying through the summer (had summer jobs). They were gathered on the exterior walkways (entrance side) and in the parking lot after "quiet time" at 10 and this was disturbing to those in our party in the room that was on that side of the building. That happened several nights during the week.

401 sea oats Only bad thing was the hammer drilling all day Wednesday, Thursday and Friday. Our wife's were not expecting to have to get up early and leave to get away from it. Saturday was very peaceful. Also had limited parking due to the construction as well. Condo was clean and offered everything we needed on the inside. Beautiful! We had a wonderful time here. Hurricane Gordon did rough the water up the first few days and bring in some rain, but after that the ocean was gorgeous. The condo is amazing! I booked this condo based on photos prior to renovations and it was nice. However, the condo was renovated and just beautiful when we arrived! I love the kitchen. The furniture is comfortable. Everything was clean and new. Overall everything was great. Check in was a little confusing, I must have lost my email with check in instructions. I looked through my email multiple times and their office is closed on Sunday and we had a Sunday check in. Thankfully, I called their emergency number and got the code I needed to get our keys. There is a key code for the door, however, if that is provided for the guests, I never found it. The hot tub and gym use the same door code, provided on your packet. Plenty of bath towels are provided. I hope we get to stay here again sometime!

Great Girls Trip! The unit has been newly remodeled and it is beautiful, with granite countertops, faux wood tile floors, and stainless steel appliances. So easy to get to the beach, but sitting on the balcony in cute patio furniture was fun too. Beds and bedding were comfy and adorable. No beach towels or beach equipment available, but otherwise, this was perfect. Very quiet as well.

Great View Corner Unit This unit was great, really liked the in counter ice maker. Only downside would be that the door still used keys not a key less entry pad. Response from Alicia J. We are slowing moving into replacing the doors with keyless entry pads, but, sometimes they are not all that great, as they can fail, so a key will come into effect again to open the door, but, we are trying to change them. I certainly hope to see you and your family again at this wonderful property next year for your vacation needs. Call us so that we can accommodate you with that property.

unit great - management company not so much. Beware of false advertising. I rented this unit online from Alicia J. Hollis, Realtor. The add clearly stated that "complimentary beach service was included" at Sea Oaks. It was NOT! It cost an extra $25 daily for 2 chairs and an umbrella. I complained but to no avail. This was part of the reason I choose this building. The unit - 401 was great. It was clean and spacious. Great location! The exterior of the building could use some updating. Many exterior doors were rusted and very unattractive.

Great TIme!! We started out in the condo below that was rented through Southern reality and it was a night mare!! I walked across the street and Asked if they had any openings and they were super sweet and helped us out the disaster the vacation started out to be!! Love them and will never us Southern rentals again!

A wonderful vacation We had two adults and four teenagers in our group. This was a very comfortable place to stay. There was plenty of seating for all six of us in both the living and dining areas. The furniture, curtain, and bedding looked updated. The location was great... walking distance to the pier. If I had to say anything negative it would be that the oven/stove seemed to cook at a lower temperature than selected. Once I figured it out, all was fine. Would love to stay here again. 401 Sea Oates Perfect. Our only complaint was having to check out and return home. Cold a/c, well maintained property, amazing stay with our family. Okaloosa Island is the most beautiful beach. Beautiful condo, beautiful view! The condo was just as described and shown in pictures. It was beautifully furnished and very very clean! The location was great and the view from our fourth floor balcony was astounding! We could sit on the balcony and watch dolphins playing in the ocean. For a dolphin lover such as myself, that was perfect! The check in/out process couldn't had been easier! Fantastic The location of this unit was absolutely perfect. Beautiful view of the beach and pool. The beds were comfortable and there was plenty of space. Large seating area for our party of six adults and three toddlers. It was very, very clean. My one and only complaint is that the slats on the balcony railing were far enough apart that our skinny, mobile babies could fit through, so we couldn't enjoy the balcony as much as we'd have liked. It makes for a better view if you don't have to worry about little kids, though.

Great Experience! The online booking process was easy and whenever I spoke to a person at the office, they were friendly and helpful.<br/><br/>The condo was accurately represented. It was clean, nice, and a good fit for our family. The view was great.<br/><br/>The Sea Oats property was clean. Path to the pool and beach was nice. The building exterior was a bit dingy and could use some updating. There was active construction on site during our stay, to replace the guard rails. It'll look nice when finished. I would've liked to have been notified of the construction but it wasn't a deal breaker and wouldn't have changed our plans.<br/><br/>We enjoyed the beach and the pool, we walked the pier, visited the Gulfarium and Wild Willy's, groaned at Cash's tasteless signs, and had some great food. Update online photo - be honest! The rental process was smooth, after hours lock box easily accessable. Our particular unit was perfect for our family. I suggested to Alicia J. Hollis that the kitchen towels needed to be replaced as they were very old. The only complaint was to the exterior hallway doors. Great unit, well maintained, nicely stocked and clean unit. Loved the seperate ice maker!

our stay in Sea Oats-401 The condo is reasonably well equipped but we have suggested that the non-stick cookware is very scratched and should be replaced with stainless steel-we cook in so this is important to us.<br/>Also, there are a large number of artificial plants which are never dusted, which is bad for allergies plus they take up a lot of room.The vacuum cleaner is not too efficient for the type of floors in the condo-a canister type with various nozzles would work better.<br/>The pool only began being heated around the 2nd week in March or so-it's such a lovely pool but unable to be used by early year visitors. We look with envy over at the Azure whose pools are always heated.<br/>The office is prompt at getting service people to fix any problems that arise.<br/>Overall, we like this property!

Should not be charged a fee to reserve a condo Didn;t think I should have been charged a fee to make the reservation. I expected the rental fee and cleaning fee but have never heard of being charged a fee to reserve a condo. Not the owners issue, the agency's issue.

Sea Oats 401 Second time to Sea Oats 401. The property had deteriorated outside the condo quite a bit....door frames rusty.....sliding doors worn and rusty. The condo inside was very nice. Decor was nice although the same as it was 2 yrs ago. The condo itself has everything a family needs to be comfortable and the location is very convenient to Destin, but away from the crowds. Sea Oats 401 - Delightful Location My family of 6 adults stayed at the Sea Oats 401 for the week starting May 18, 2013. The apartment was very clean with all the amenities we needed. The weather was perfect and the beach was not crowded at all. Parking was also readily available. We enjoyed an excellent view of the surf and the pool area from the balcony. AJH was wonderful to work with, as always.

Recommendations Supplies IE: tissue, trash bags etc were in short supply based on an 8 day stay. Not happy with no beach umbrella's & chairs any longer,and lastly the requirement that all sheets and linens be pulled from the beds should have been included in the cleaning fee. The price of the rental did not decrease but some of the amenities did. This has nothing to do with the quality of the room which was great but rather the management and it's policies.I thoroughly enjoyed my stay and I will be back regardless of my concerns. Our Family Vacation 2014 The Unit itself was gorgeous...plenty of room for the whole family and very comfortable. Our only complaints would be there were not enough washcloths and the pull out couch is broken and needs to be replaced. The property is beautiful and within walking distance to Alvins Island and the Oar House. Our check in was very smooth and so was our check out. I would recommend this Unit to anyone..we will be back for sure!!

Best Vacation Ever My family and I went on an extended weekend vacation. We had not been on vacation in a couple of years. Staying at Sea Oats made our vacation even better. The condo was very clean, nice and spacious. We had plenty of room. The kitchen was spacious and allowed several people in their at one time to cook. It was centrally located and was convenient to get to where we wanted to go. I would highly recommend this condo unit and we will be staying there again in the future.

Alicia Hollis Realty was very helpful and responsive to our needs. Unit 401 was spacious and well-equipped. Bathrooms could use an update, but were very clean and well supplied. The entry side of Sea Oats badly needed repair from rusty doors and windows. We were told this was scheduled soon. The back of the building looks great and the pool area was nicely done. The beach was very clean, but the water was full of "June Grass" - our first experience with that. It couldn't be helped - it's nature! - but a big disappointment. We also had some issues with noise from other tenants. There was a large group of young people that were staying through the summer (had summer jobs). They were gathered on the exterior walkways (entrance side) and in the parking lot after "quiet time" at 10 and this was disturbing to those in our party in the room that was on that side of the building. That happened several nights during the week.

Only bad thing was the hammer drilling all day Wednesday, Thursday and Friday. Our wife's were not expecting to have to get up early and leave to get away from it. Saturday was very peaceful. Also had limited parking due to the construction as well. Condo was clean and offered everything we needed on the inside. The in room ice maker was a very nice feature that we used everyday.

We had two adults and four teenagers in our group. This was a very comfortable place to stay. There was plenty of seating for all six of us in both the living and dining areas. The furniture, curtain, and bedding looked updated. The location was great... walking distance to the pier. If I had to say anything negative it would be that the oven/stove seemed to cook at a lower temperature than selected. Once I figured it out, all was fine. Would love to stay here again.

Perfect. Our only complaint was having to check out and return home. Cold a/c, well maintained property, amazing stay with our family. Okaloosa Island is the most beautiful beach. The condo was just as described and shown in pictures. It was beautifully furnished and very very clean! The location was great and the view from our fourth floor balcony was astounding! We could sit on the balcony and watch dolphins playing in the ocean. For a dolphin lover such as myself, that was perfect! The check in/out process couldn't had been easier! If I am in need of rental property in this area again, I will definitely be back at Sea Oats 401!

The location of this unit was absolutely perfect. Beautiful view of the beach and pool. The beds were comfortable and there was plenty of space. Large seating area for our party of six adults and three toddlers. It was very, very clean. My one and only complaint is that the slats on the balcony railing were far enough apart that our skinny, mobile babies could fit through, so we couldn't enjoy the balcony as much as we'd have liked. It makes for a better view if you don't have to worry about little kids, though.

Beware of false advertising. I rented this unit online from Alicia J. Hollis, Realtor. The add clearly stated that "complimentary beach service was included" at Sea Oaks. It was NOT! It cost an extra $25 daily for 2 chairs and an umbrella. I complained but to no avail. This was part of the reason I choose this building. The unit - 401 was great. It was clean and spacious. Great location! The exterior of the building could use some updating. Many exterior doors were rusted and very unattractive.

We started out in the condo below that was rented through Southern reality and it was a night mare!! I walked across the street and Asked if they had any openings and they were super sweet and helped us out the disaster the vacation started out to be!! Love them and will never us Southern rentals again!
