Checkout: 9:30 AM IS OUR OFFICIAL CHECKOUT TIME. A $75 charge to the credit card on file will be assessed if not out by 9:30am. Our housekeeping staff is on a very tight schedule to get the unit ready for the next vacationer. There is a $150.00 charge for lost or missing keys for the condo. PLEASE DROP KEYS BACK OFF AT THE SAME LOCATION WHERE YOU CHECK IN. (PLEASE REFERRENCE YOUR CONFIRMATION EMAIL). Please place all linens, towels and wash clothes in the pillow cases and place all pillow cases on kitchen floor. If not out by 12pm on checkout day, one night rent will be charged to the credit card on file. No Exceptions!
Rental Rates and Payments: Rates close to or during the holidays, special events, and weekends are typically higher, and a minimum night requirement may apply. In the months of May, June, July, and August properties have a minimum stay of one week. Renters must check in/checkout on the weekend. Most of our properties require a three night minimum during our off-season. Rates do not include tax and are subject to change. Prices are subject to 11% Sales/Accommodation tax.

Initial Payment: We no longer accept checks. We accept Visa, Master card and Discover. A $500 security deposit is required for rentals of 30 days or more. Any payments received and/or credit card accounts provided will be used to pay for any unpaid balances, telephone charges, damages, replacement or repair of any damaged or missing items, or excessive cleaning requirements due to your stay with us as we deem necessary. Renters waive there right to dispute any charges incurred due above mentioned conditions. Otherwise, security deposits will be refunded within 21 days after your departure. When you arrive, please call us immediately if you notice anything wrong with the unit. If we get a call the following day, we are to assume you have damaged the unit.
Final Payment: The final payment toward your vacation rental is required 60 days prior to your arrival. Requirements for the final and initial payments are the same. After your final payment is received, you will receive an email confirmation listing all your vacation rental charges, vacation insurance (if applicable), occupancy taxes, processing fees, security deposits, and any other requested rental service fees or items if not received prior to final payment.
Travel Insurance: Travel insurance is an option to help safeguard your vacation. If you wish to purchase this insurance, you must purchase travel insurance by the time you make your full payment.
Damage Insurance: We offer a Vacation Rental Damage Protection plan for $29 that provides coverage for accidental damage to the rental property, up to $3,000. Not all damages are covered through this policy. If CSA does not cover the damage. The Renter responsible for booking will be charged on their credit card for the cost to replace or repair. To see what this CSA damage coverage covers, please contact CSA. We do offer a $300 refundable security deposit option if you wish not to buy the CSA damage protection coverage. That will be due at booking.
Cancellation Policy: Unless your reservation is covered by travel insurance, all payments will be forfeited if canceled inside of 60 days of arrival. Canceling a reservation outside of 60 days is subject to a $100 cancellation fee plus the administration fees will not be refunded during any cancellation; before or after 60 days prior to your check in date.
Hurricane/Environmental Cancellations: The Property Manager recommends travel insurance through your preferred insurance provider and recommends that you purchase coverage if you have concerns about your travel plans. Individual insurance policies supersedes any and every other policies that the Property Manager has in regards to weather/environmental-related cancellations. We do not refund based on weather/environmental-advisories or warnings. With that said, the Property Manager will refund any portion of your stay due to a MANDATORY evacuation of our community due to an impending hurricane ONLY. Any refunds will be prorated, based on the time that you have spent in the property. We highly recommend purchasing travel insurance (i.e. AAA Travel Insurance).
Changing Reservation: Any change or transfer of a confirmed reservation is subject to a $75.00 administrative fee AND property owner approval. The Property Manager and/or the owner have the right to refuse the change or transfer of a confirmed reservation within 60 days.
House parties and Groups: House parties and groups with members under the age of 25 are prohibited. We do not rent to non-family groups unless ALL members of the group are 25 years of age or older.
Pets: NO PETS are permitted. IF THERE IS PETS ON THE PREMISES. AN IMMEDIATE EVICTION WITH NO REFUND WILL BE ENFORCED. An additional $200 cleaning fee will be charged to the credit card on file. NO EXCEPTIONS!
Furnishings and Equipment: All homes and condominiums are privately owned and furnished. Consequently, we cannot make any changes to the property. All properties are complete with air conditioning and heat, and color cable television(s), unless stated otherwise. Most kitchens are equipped with the following: refrigerator/freezer, range/oven, drip coffee maker, toaster, sufficient tableware, flatware, cookware, glasses, cooking utensils, a microwave oven, and a dishwasher. There will either be a washer & dryer in your unit or access to a common coin-operated laundry facility will be onsite. Rate adjustments will not be made for the failure of any appliances or equipment to be in working condition for a reasonable amount of time. Outside service contractors shall have the right to arrange, inspect and repair during your occupancy. This also applies if pools, elevators, or other common features should close for reasons such as cleaning or maintenance during your time with us.
Departure Cleaning: Before your departure, we ask that you remove all items from the freezer and refrigerator, run the dishwasher and return all items to their original places, carry out all trash and to close and lock all windows and doors. You will be responsible for leaving the property in a secure and orderly condition. We will clean the property and prepare it for subsequent occupancy.
Bed & Bath Linens: Linens and towels are included in our rentals; unless otherwise stated. All beds are made for your arrival. If you would like to acquire any cleaning services or daily towel exchange during your stay, we do provide maid services at an additional charge. DAILY HOUSEKEEPING IS NOT INCLUDED IN RENTAL RATE. Please place all bed and bath linens in a pile at departure. Please place linens and towels in the pillow cases and place them on the kitchen floor.
Internet: Most of our units come with free wireless internet. You will obtain the username and password upon arrival. There are times when connectivity problems are beyond our control. The Property Manager is not liable for any connection issues with the internet. The homeowner pays monthly for internet. Once our staff contacts the homeowner, they will take care of the issue from there. There are no refunds for a bad connectivity problem.
Lost and Found: The Property Manager is in no way responsible for personal belongings left behind in the property. A $25 service fee and shipping costs will be billed to your credit card if you request us to package and return items you leave in the property.
Keys: There is a $150.00 charge for lost or missing keys of the condo, so please be certain to turn in all keys prior to your departure. Please reference page one of this contract for check in procedures.
Construction: In resorts areas, construction can occur due to new attractions and accommodations. We do not make rate adjustments or rebates due to these matters.
Smoking: ALL units managed by The Property Manager are NON-SMOKING! A $500 fine will be charged to remove the smell of smoke from the unit. NO EXCEPTIONS.
Resort Management: The Property Manager and/or its homeowners cannot guarantee that facilities at our resorts will be available for the use of our renters. This includes the Hilton and Embassy Suite pool decks, pools and Splash Water Park. Resort managers, builders, developers and homeowner associations from time to time change the rules and regulations about the facilities which are out of our control. We do not make rate adjustments or rebates due to these matters. We have zero access to the SPLASH water park at Kingston Plantation. Renters can access the health center for $10 a day or $45 a week in the summer time. Prices are subject to change without notice.
Telephones: Most condos are NOT equipped for the guests to dial local phone numbers and guest services. If you are from out of the country and the unit does not have a local land line, The Property Manager is not held liable for any cell phone costs incurred during your stay. There is a $30 fee for a local phone line. The Property Manager assumes every renter has a cell phone for emergencies. If the renter does not, they must purchase one before arriving to the rental property for safety reasons. If the renter does not purchase a cell phone, The Property Manager, its homeowners and affiliates are not held liable for any problems and safety issues of the renter(s).
Parking: Motorcycles, watercraft, trailer vehicles, high-rise vans, ATVs, and/or motor homes are NOT PERMITTED on any properties. Most homes and villas have ample parking for four or more vehicles; although, some may have more parking availability. Parking passes will be given at check in.
Locked Closets: Many owners have their personal items locked in a closet for their convenience. These areas are not included in a rental. Please do NOT attempt to open these locked closets. They are for HOMEOWNER USE ONLY. IF YOU BREAK THE CLOSET, YOUR GUEST ACCOUNT WILL BE CHARGED FOR ALL REPAIRS AS WELL AS MISSING ITEMS.
Subletting Prohibited: Guest acknowledges that the rental property may not be sublet. Subleasing shall immediately void any rental agreement with no refund to guest.
Items to Bring: Toiletries (such as toilet paper, soap, shampoo/conditioner, etc.) Laundry detergent, paper products (such as paper towels, paper plates, garbage bags, etc.) Beach towels, beach toys, etc.
Guest Occupancy: Occupancy (including small children, infants and visitors) shall not exceed the stated occupancy number for the unit. Overcrowding is a violation of the lease and you may be asked to vacate the premises or incur added charges.
Liability: Tenant and guests hereby agree(s) to make restitution for and hold and save harmless the Property Manager, their employees, and the property owners from loss, damages, claims, demands, suits, judgments, liabilities or any causes whatsoever, which the owner would be otherwise held responsible for arising from any injury or death to persons or property, or any claim on account thereof resulting from Tenants or guests use of premises or Tenants or guests failure to comply with this agreement, either in or about the occupied property or elsewhere. Renters are responsible for the well-being of their children. If a child is hurt from negligence of the parent or guardian, the Property Manager, its staff, vendors and homeowners are NOT responsible.
Guest Responsibility: The guest whose name appears on the confirmation is responsible for all terms and conditions set forth in this document for them, their guests or others who may share vacation rental property during their term of occupancy.

This agreement must be returned before you may gain access to your unit. These terms apply to all properties and are not subject to modification. GUEST AGREES TO ABIDE BY THESE TERMS OF OCCUPANCY. UPON TENDER OF ANY PAYMENT, The Property Manager AGREES TO MAKE PROPERTY AVAILABLE SUBJECT TO THE TERMS AND CONDITIONS OF OCCUPANCY AND RENTAL CONFIRMATION SUPPLIED TO GUEST. PLEASE SIGN, DATE AND RETURN BACK TO OUR OFFICE WITH THE APPROPRIATE DEPOSIT. THE LAST PAGE OF THIS AGREEMENT MAY BE RETURNED VIA FAX OR EMAIL.

As a part of your stay, you may purchase a Vacation Rental Damage Protection plan designed to cover unintentional damages to the rental unit interior that occur during your stay provided they are disclosed to management prior to check-out. If purchased, the policy will pay a maximum benefit of $3,000. Any damages that exceed $3,000or are not covered under the plan will be charged to the credit card on file. If, during your stay at one of our rental properties, an insured person causes any damage to real or personal property of the unit as a result of inadvertent acts or omissions, the Insurer will reimburse the Insured for the cost of repair or replacement of such property up to a maximum benefit of $3,000. Certain terms and conditions apply. Full details of the Vacation Rental Damage coverage are contained in the Description of Coverage or Insurance Policy The Vacation Rental Damage plan can be purchased up to, and including at, check-in.
